This article show you how to configure your printing service, ensuring your data is synced between Galley and your 3rd party tool
When should I read this article?
You should read this article when your Printing Service (e.g. Nicelabel/Loftware Cloud or another printing service) account is already connected to Galley and you want to confirm your readiness to start printing. If this connection is not yet ready, navigate to Getting started with Printing in Galley and follow the article to configure your account.

What do I need to configure?
To facilitate printing your Galley data using a Printing Service, you should first understand what you need to configure and why.
Elements
The elements involved in printing from a Printing Service that you'll need to configure in Galley are:
- Printing Service: your 3rd party provider connection to Galley, e.g. Loftware Cloud (Nicelabel).
- Printers: The printers you have available within your Printing Service.
- Labels: The documents that can be printed using your Galley data. Remember that Loftware Cloud (Nicelabel) refers to all documents as "Labels".
- Locations: The Galley Locations that can print documents.
- Recipes: The Recipes that will be used to print your Galley Data.
Configuration steps
Now knowing the elements you'll need to configure, these are the steps to follow to ensure you're ready to start printing:
- Know your surroundings: You must understand how to navigate and manage your configuration.
- Connect Galley to your Printing Services: Ensure the integration between your Printing Service and Galley is properly configured.
- Sync your Galley and Printing Service data: Refresh elements to make Galley sync the information from your Printing Service.
- Link Printers to Locations: Tell Galley the location of your printers.
- Link Printers to Labels: Tell Galley which Printers can print which Labels.
- Link Labels to Recipes: Tell Galley which Labels can be printed from which Recipes.
Permissions
Configuring a Printing Service and printing from it requires specific user permissions:
- Admin permissions: When configuring the Printing Service, some configuration actions are on the Company Settings page, which requires a Galley Admin within your company to perform them. These actions are:
- Creating a new Printing Service.
- Changing the basic Printing Service configurations.
- Sync Printers and Labels.
- Edit Printer locations.
- User Permissions: While the actions above must be performed by an Admin, there are actions within the scope of Printing that are available to any user. The permissions for these actions can be found on your Profile page, in the section Printing (see the image below for reference).The permissions are:

- View Printing Labels: View the Labels and be able to print from a Recipe or a Menu page.
- Link Print Labels to Recipe: Allows the user to:
- Link Labels to a Recipe on the Recipe page.
- Bulk Link Labels to multiple recipes on the Recipe Catalog page.
- Link missing Label to Recipe in the Print Label flow.
- Link Print Labels to Printer: Link missing Label to Printer in the Print Label flow.
After you ensure you have the right permissions, continue to the following sections.
How can I find my Printing Service configuration in Galley?
The Printing Service feature is Company-scoped and configured under Galley's Company Settings. This means you'll need to be a Galley Admin within your company to be able to access it. To get to it, navigate to your Company Settings page, and click on the tab Printing Service. Check the image below for reference:
This is what you'll see:
The Printing Services list is in the Printing Service tab under your Company Settings. It contains 2 items inside it:
- Button to add a new Printing Service: Click if you need to add a new Printing Service. A new modal will open where you'll select the Printing Service type and fill the information needed. Please note that:
- If you're unfamiliar with technical integrations, you shouldn't manually configure your Printing Services. A Galley team member can do that for you. Contact our team at success@galleysolutions.co.
- If you ARE used to doing technical configurations, refer to one of the following articles, depending on the Printing Service you're using:
- Loftware Cloud/Nicelabel: How can I configure the integration between my Loftware Cloud (Nicelabel) and Galley Accounts
- List of Printing Services: This is the list of your Printing Services. You can click on any item on the list to open its configuration page.
When you first open your configuration page, you should already have at least one printing service configured on the list. If you don't see a printing service on the list, contact our team at success@galleysolutions.co.
How do I navigate my Printing Services configuration pages?
After you click on a Printing Service from your list, you'll navigate to that Printing Service configuration page, with tabs containing:
- Settings page.
- Printer configuration page.
- Label Configuration page.
- History page.
Let's take a look at each tab.
Settings Page
Do not change the data in this section if you are not used to performing technical configurations on integrations.
This page contains the configuration data for the integration with your Printing Service tool (e.g. Loftware Cloud). The data present on the table will vary depending on the Printing Service you're using. See the image below:
- Configuration data: This table holds the configuration data for the integration, such as keys and URLs.
- If you click the Edit button, you'll see a modal to change the configuration data. To understand the data present on this modal and how to change it, refer to one of the following articles, depending on the Printing Service you're using:

Printers Page
In the Printers tab, you'll find configuration for your printers, in the scope of Galley. See the image below:
- Refresh button: Used to sync the printers between Galley and your Printing Service.
- Printer list: Shows all your printers, the location they're in, and the labels they can print.
- Edit button: Opens the option to select the location of the printer.
- Bulk actions: Opens when you select one or more printers from the list. Shows options for updating the printers location and link labels to them.
Labels Page
In the Labels tab, you'll find the details of your labels, in the scope of Galley. See the image below:
- Refresh button: Used to sync the labels/documents between Galley and your Printing Service.
- Label list: This list shows your labels and their data: Name, Kind (Menu Item or Recipe), Dimensions, Created at, and Updated At.
- View button: Click on this button to view the Label's details, including all the information on the main table, plus a preview of the Label and the label variables. See the image below for reference.

History page
On the History page, you'll find all printing jobs from your company. You can view the Label, Printer, Label Kind, Location, Date of the job, and the User who created it. Refer to the image below.
How do I sync my Printing Service and Galley Accounts?
If you know how to navigate your configuration, the next step is to sync your data once your Printing Service and Galley accounts are connected. To do that:
- Open your company's Setting page.
- Navigate to the Printing Service tab.
- Select the printing service.
- Navigate to the Printers tab.
- Click on Refresh.
- Wait a couple of minutes.
- Check if all your printers are available on the list.
- Navigate to the Labels tab.
- Click on Refresh.
- Wait a couple of minutes.
- Check if all your labels are available on the list. You can open them to view the details.

NOTE: Every time you add a new Label and add it to your Printing Service account or modify an existing one, you'll need to run steps 8 to 11 (above) to sync the new labels.
After syncing new labels, always open the label details to confirm that everything is correct.
Next, you'll start linking the elements.
How do I Link Printers and Locations?
Since a printer is a physical device that needs to be installed at a single location, printing is a location-based feature in Galley. Each printer can be used by one location at a time, and you'll need to configure it. You can configure one printer at a time, or bulk link printers to a location.
If you don't add the printer to a location, you won't be able to use it.
Link one printer to its location:
Steps:
- Open your company's Setting page.
- Navigate to the Printing Service tab.
- Select the printing service.
- Navigate to the Printers tab.
- Select the printer you want to configure and click Edit.
- Select the location for that printer.
- Save it.

Link multiple printers to the same location
Steps:
- Open your company's Setting page.
- Navigate to the Printing Service tab.
- Select the printing service.
- Navigate to the Printers tab.
- Select the printers you want to configure.
- On the bulk actions bar, click on the location icon.
- Select the location for the printers.
- Save it.

How do I Link Printers and Labels?
Printers have physical limitations and may be unable to print all your labels. So, to avoid printing errors, you'll need to tell the system which printers can print which labels. To do that, perform the following steps:
You need to link labels and printers to be able to print.
- Open your company's Setting page.
- Navigate to the Printing Service tab.
- Select the printing service.
- Navigate to the Printers tab.
- Select one or more Printers you want to configure.
- On the bulk actions bar, click on the Label icon.
- Select if you want to Add or Remove Labels for the Printers.
- Click Update Labels.
- Select the Labels you want to Add or Remove.
- When adding labels, the list will show labels that are not linked to one or more of the selected printers.
- When removing labels, the list will show labels that are linked to one or more of the selected printers.
- Save it.

How do I Link Recipes and Labels?
The last link you need to create is between Recipes and Labels. This will allow you to define which labels can be printed from each recipe. This link will be used when printing from any page where the recipe drives the data. For example, if you're printing a menu with 100 items, since each item represents a recipe, the labels you can print will be limited by the links to that recipe.
You won't be able to print from a recipe if it doesn't have labels linked to it
You have 2 options to link your Recipes to their Labels: Individually or in bulk, from the Recipe catalog:
Link a recipe to its labels
Steps:
- Go to the Recipe Catalog page.
- Open the recipe you want to link labels to.
- Go to the Print Labels tab.
- Select the Printing Service.
- You'll view all labels from that service that are linked to the recipe.
- Linking labels:
- Click on the + button.
- Select the labels you want to add.
- Click Save.
- Unlinking labels:
- On the list of labels, click on the trash button to remove a single label.
- Or, select multiple labels to remove, and click on the trash button to remove them.

Link/unlink multiple recipes to labels
Steps:
- Go to the Recipe Catalog page.
- Select all Recipes to which you want to link or unlink a label.
- In the bulk actions bar, select the label icon.
- Select the Printing Service.
- Select if you want to add or remove labels.
- On the modal that appears, select the Labels you want to Add or Remove.
- When adding labels, the list will show labels that are not linked to one or more of the selected recipes.
- When removing labels, the list will show labels that are linked to one or more of the selected recipes.
- Save it.
