How to manually create an invoice in Galley?

An easy guide to manually creating invoices in Galley.

Depending on the customer's operation size, there are different ways to upload invoices into Galley. There is a link at the bottom of this article that details the other ways of getting invoices into Galley.

One of the ways is to manually create invoices natively within Galley. Do this by navigating to the Orders page and accessing the Invoice catalog page. From there, click on the "Add Invoice" plus icon right of the page name.

That will display a page to enter the Invoice number, the Vendor, and the Location for that invoice.

In order for a Location to be displayed on the invoice Location selector drop-down, the Location must first have an External ID assigned to it. To assign that, navigate to the Location page, select a Location and add any unique identifier (numbers or letters) to the "External ID" field.

After entering the basic information, Galley will create a blank invoice. The newly-created Invoice has the status Draft, which means the invoice can be edited. 

Users can add items to the invoice item table by clicking the "Add item" dropdown, typing in the name of the desired vendor item, and selecting it.

Once the editing is done, users can mark the invoice as Approved, making the invoice immutable (un-editable) from that point.
