How do I choose which pages the sidebar shows for my company and roles?

Hide the pages your team never uses, give each role its own sidebar, and let people tidy their own.

What navigation settings do

Navigation settings decide which pages the new sidebar shows and in what order. A company admin sets a company default for everyone, can give a role its own version, and can let people hide pages they never use.

These settings only change what the sidebar lists. They never give or take away access to a page: that is still set by roles and permissions.

Navigation settings work with the new sidebar only, and only company admins can change the company default and role sidebars. On phones and tablets that show the compact menu at the top of the screen, every page you have access to is still shown.

Set up the company default

  1. Open Company Settings (under Admin in the sidebar) and go to the Navigation tab.
  2. Under Configuring, choose the company default.
  3. In the page list, clear the box next to any page or group your team doesn't use. A cleared group hides every page in it.
  4. Drag pages into the order people work in. A page moves within its own group, and a group moves with all its pages.
  5. Turn on Flat navigation if you'd rather show one list of pages without groups.
  6. Check the Preview, then select Save changes.

The Navigation tab, with the page list showing Standards unchecked and its pages marked Hidden with Standards, next to the Preview of the sidebar.

The Preview shows the sidebar with your settings. Each person still sees only the pages they have access to, plus any role or personal changes. People see your changes the next time they load Galley.

Give a role its own sidebar

A role can have a sidebar of its own, so the kitchen team and the purchasing team each see what they need.

  1. On the Navigation tab, choose the role under Configuring.
  2. Hide the pages that role doesn't need.
  3. To show that role a page the company default hides, use Show here on that page. Show here works on single pages, not on a whole group the company default hid.
  4. Select Save changes.

Under Permissions, Allow role overrides decides whether roles may change the company default at all. Turn it off to give everyone the company default, whatever their role.

Save or discard your changes before you switch to another role in Configuring.

When someone has more than one role

When a person has more than one role, a page that any of their roles hides stays hidden for them, unless another of their roles uses Show here for that page.

For example, if the Sous Chef role hides Invoices and the Purchasing role doesn't change it, someone with both roles won't see Invoices in their sidebar. If the Purchasing role uses Show here on Invoices, they will.

Let people hide pages for themselves

Anyone can hide pages they never use from their own sidebar:

  1. Select the sliders icon (Customize sidebar) next to Expand all or Collapse all, just above Home. In the collapsed sidebar, it sits under Favorites and Recent.
  2. Clear the pages you don't want to see.
  3. Save.

Personal choices are saved to the person's account, so they follow them to any computer they sign in from.

The Customize sidebar dialog as a company admin sees it, with Standards unchecked, its pages marked Hidden with Standards, and the Copy to control at the bottom.

This is on by default. To turn it off, open the Navigation tab and, under Permissions, clear Allow people to hide pages for themselves.

People who aren't admins see a list of pages to hide. Admins also get page order, can show pages the company or a role hid, can turn on Flat navigation for their own sidebar, and see Copy to.

Copy your sidebar to the company or a role

An admin can set up their own sidebar in Customize sidebar and then use Copy to, to apply it to the company default or to a role.

Copy to replaces the target's settings with the admin's own: the pages they hid or showed, their page order and their flat setting.

Pages hidden only by the company default or a role are not copied. So copying to the company default can show those pages again for everyone. Before anything is copied, Galley lists the pages that will be hidden or shown again and how many people it affects. Read that list before you confirm.

What hiding a page does and doesn't do

Hiding a page only removes it from the sidebar. Nobody gains or loses access to anything.

A hidden page can still be opened from a link, from Favorites and Recent, and from Search at the top of the screen. The sidebar's Find a page box only finds pages the sidebar shows.

To control who can open a page, keep using roles and permissions.

Troubleshooting

I don't see the Navigation tab

The Navigation tab is for company admins and appears only when you use the new sidebar. If you are an admin and still don't see it, ask your Galley contact whether navigation settings are turned on for your company.

Someone still sees a page I hid

Check their roles. One of their roles may use Show here on that page, or Allow role overrides may be off, which gives everyone the company default. Changes appear the next time they load Galley, so ask them to refresh.

A page disappeared from my sidebar

The company default, one of your roles, or your own Customize sidebar may hide it. Open Customize sidebar to check your own choices, or ask your company admin. You can still open the page from Search at the top of the screen.

Frequently asked questions

Does hiding a page remove anyone's access?

No. Navigation settings only change what the sidebar lists. Roles and permissions still decide who can open a page.

Do my personal choices follow me to another computer?

Yes. They are saved to your account, so they are there on any computer you sign in from.

How do I go back to showing every page?

Select every page again in the page list for the company default, or for the role, and save. For your own sidebar, select every page again in Customize sidebar.
